Equipment (Fleet) Coordinator


  • Coordinate with Shop Manager, Field Equipment Supervisor and Division Managers to ensure equipment paperwork is properly filled out properly and completed to ensure audit quality records are maintained
  • Maintain workorder filings, equipment location and tracking for our multi-divisional organization
  • Assist in acquisition and tracking of rental equipment & equipment pickup/return
  • Assist in rental reporting with field equipment supervisor
  • Compile completed workorder paperwork and maintain appropriate records
  • Manage preventative maintenance schedule and ensure compliance
  • Process weekly equipment usage records and entry into financial tracking system
  • Manages and ensures compliance in the areas of Daily Driver Logs, Vehicle/Equipment Checklists, Trip Reports, Equipment Purchase/Disposal Records, Maintenance Records, DMV Registrations, Dielectric Testing, Interdivision Transfer, NYS Police DOT Exam Tracking, Divisable Load Permits, Federal Motor Carrier Safety Administration, OSCAR, 2290 Filings, IFTA filings, IRB filings and others
  • Interact and maintain positive working relationships with other department staff throughout the organization
  • Assist in equipment safety days as needed
  • Maintain current knowledge of equipment rules and regulations for NYS and Federal DOT
  • Maintain equipment registrations and inspections
  • Monitor and input inter-divisional equipment transfers in systems
  • Enter maintenance records into preventative maintenance tracking system


Required Skills/Experience

  • Prior experience dealing with the above responsibilities and equivalent
  • Above average communication skills
  • Strong organization skills and attention to detail
  • Familiarity with on-road and off-road equipment, parts, accessories, batteries, buckets, trailers, etc.
  • Ability to accomplish duties with accuracy and timeliness
  • Ability to self-motivate which is required to stay on track, maintain organization, and make continuous progress
